These steps will explain how to assign specific roles to Assistant Property Managers or to Office Admin users.

The roles need to be selected in the main property manger's profile settings. Meaning, the property manager assigned to the portfolio in the trust program is the main user or responsible property manager.

Please Note: If there is any change made to the Maintenance roles, please advise support through the chat feature or support@ourproperty.com.au

Pending maintenance jobs are assigned to the previously user, main property manager or the creator. We will need to update job permissions to ensure all maintenance jobs display correctly for the new user in the maintenance role.

1. Either log in as the responsible property manger or the Office Manager user account.

If logged in as the property manger user account, mouse over the person icon or profile picture in the top right corner and select Profile from the menu.

If logged in as the Office Manager account, mouse over Admin on the left side menu and select Property Manager from the menu.
Search for and select the required property manager to open their profile.

2. Scroll down the page to find the roles table.

3. Click in each box and select the required user to assign that role.
Click save to update your changes.

Trusted Admin: Do not use

Default Admin: Whoever is selected in this column will be assigned the role as default if there is no Override Admin user selected.

Override Admin: This is the main setting you will need to use to assign roles. 

Whoever is selected in this column will be the primary user for the selected role and will override any default user selected in the Default Admin column or any user selected in the Default user settings in your agency settings (is any).

If the role selection is blank, the role will default to the Property Manager's account that you are currently editing. (This will only affect properties that are assigned to that property manager in your trust program).

Click the box and select the required user for the role in the dropdown menu.

For the example above:
The maintenance role for Landlord (LL) and Tenant (TNT) are assigned to Martin.
The Inspection role for Landlord (LL) and Tenant (TNT) are assigned to Taylor.

All other roles are blank and are assigned to the Property Manager account that is being edited as they are the user assigned to the properties in the trust program (they are the person responsible for the portfolio/properties).

Roles for LL and TNT

LL inspections are Routine Property Visit inspections - they are done for the landlord.
TNT inspections are the Entry and Exit inspections - they are done for the tenant.

All other LL roles relate to the communications to the landlord
All other TNT roles relate to the communications to the tenant

These different roles can be selected should you have a specific person that responds to and communicates to landlords only and if you have a specific person that responds to and communicates to tenants only.
